Bookkeeper/Admin Assistant
ADR Institute of Canada (ADRIC) is a highly respected, bilingual, not-for-profit association providing services and benefits to over 2,300 Alternative Dispute Resolution professionals (mediators, arbitrators, etc.), seven regional affiliates, corporate members, and the public. We seek someone with solid proficiency in full-cycle bookkeeping and with some technology and administrative experience to support our organization’s daily operations.
Experience in the not-for-profit sector is an asset, as are French language skills. We are a small, very busy office of seven staff, and we need someone who can “hit the ground running” and work with a sense of urgency.
Bookkeeping Responsibilities:
- Full Cycle Bookkeeping for ADRIC and for two of its small affiliates in QuickBooks
- QuickBooks Cloud
- Extensive knowledge and experience in deferred and accruals
- Accounts Payable and Receivable and collection follow-up
- Inter-company transactions
- Government form filing (HST, Industry Canada, etc.)
- Banking and Reconciliations
- Audit preparation
- Budget input and quarterly updates
- Monthly Financial Reports
- iMIS CRM Reports
- Assist with setting up annual renewal billings process in iMIS and support members with online payments as required
- Review iMIS sales reports (“Batches”) for accuracy, task appropriate staff for order fulfillment, and “post” batches daily
- Liaise with affiliate staff to reconcile membership data and dues collections
- Proactively provide the Executive Director with regular updates and information
- Process information in the online Payroll system
- Update, maintain and develop best practice processes in establishing better flow in our reporting systems and reports
Administrative Responsibilities:
- Assist with CRM (iMIS) information updates
- Client registration support with payments related to member applications, designation applications, events, courses, etc.
- Liaise with ZOOM for the overall administration of the ZOOM benefit to our members
- Administration of programs and services as assigned
- Administration of the revenues and expenses of course/nomination offerings
- Liaise with the team and affiliates in the billing and registration processes for different events at ADRIC, including the National Conference
Qualifications:
- Post-secondary education and/or solid bookkeeping experience (minimum 3 years preferred)
- Familiarity with CRM database systems (training available specific to iMIS)
- Extensive Experience with QuickBooks Cloud
- Intermediate to advanced skills in MS Office: Outlook, Word, and Excel
- Excellent command of the English and French languages
- Experience in the not-for-profit sector is an asset
- Experience with cloud computing, Office365 and TEAMS

Executive Assistant / Administrative Support Professional

ADR Institute of Alberta (ADRIA) is a registered not-for-profit organization and professional association that serves as a source of alternative dispute resolution information, resources and expertise in Alberta. Our Mission is to provide education, resources and accreditation for professionals and services for the public to have access to qualified ADR processes.
We are inviting applications for the position of Executive Assistant/Administrative Support Professional. Advanced administrative skills and a high degree of professionalism are required for this role.
Key responsibilities will include direct support for the Executive Director and Board of Directors and working as a key member of the ADRIA staff team to ensure responsive support for our Members and the public. This position reports to the Executive Director.
Knowledge and Skills Requirements
- Post-secondary diploma or degree in administration, office management or business preferred.
- 3-5 years senior level administration to executive management preferred.
- Experience in educational, Not for Profit and/or government preferred.
- Cross-Functional Coordination: Ability to liaise between verticals, manage projects, and ensure smooth operations.
- Virtual Meeting & Collaboration Tools: Expertise in Zoom and Microsoft Teams for hybrid/remote collaboration.
- Advanced Written & Verbal Communication: Strong skills in crafting reports, emails, and presentations.
- Strategic Thinking: Identifying process improvements and proactively solving problems before they escalate and the ability to adapt to changing priorities.
- Resilience & Flexibility: Adapting to new work environments, hybrid roles, and digital transformations.
- Multitasking & Prioritization: Managing multiple deadlines efficiently while maintaining attention to detail and the ability to prioritize tasks effectively.
- Proven experience in an administrative role, with a track record of excellence in organization and efficiency.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent verbal, written and interpersonal communication
- Strong attention to detail, accuracy, and confidentiality.
- Proficiency in administrative and productivity software such as Google Workspace, MS Teams, Zoom, and ASANA.
- Experience with customer service; diplomacy skills
Compensation: Annual Salary $48,000. This is a 0.8 FTE 2-year contract position.
